If you spot a mistake on an existing punch — the wrong clock-in time, the wrong job, or a missing custom field — you can submit an Edit Punch Request instead of waiting for your manager to fix it for you. Depending on your permission level, the request either applies immediately or goes to your approver for review.
What is an Edit Punch Request?
An Edit Punch Request lets you propose a change to a punch that's already on your timesheet (Clock In, Clock Out, Break, Resume, or Job Transfer). Instead of overwriting the punch right away, your requested changes are held as a pending request until your approver reviews them. The original punch stays exactly as it was until the request is approved.
Note: This feature is only available on punch-based timesheets where your administrator has turned on “Allow Edit Punch Requests.” If you don't see the option described below, ask your administrator to confirm this setting.
What you can do depends on your permission level
Your timesheet permission level determines whether you edit punches directly or need to submit a request:
| Your punch permission | Editing an existing punch | Requesting a date/time change |
| Not allowed to add/edit/delete punches | No direct editing. Every field must go through an Edit Punch Request. | Use the Edit Punch icon to request any field, including date and time. |
| Can edit everything but date & time | Edit Job, breaks, custom fields, and comments directly — saved immediately, no approval needed. | Use the separate Edit Punch icon next to the punch type to request a time change. |
| Full permission to add/edit/delete punches | Edit any field directly, including date and time. | Not applicable — no request flow, no Edit Punch icon. |
How to submit an Edit Punch Request
- Open Timesheets and find the punch you want to change.
- Press the Edit Punch icon on that punch. (If you can edit everything but date & time, this is the separate icon/label next to the punch type — not the notepad-and-pencil icon, which still edits other fields immediately.)
- The Request Edit Punch modal opens, pre-filled with the punch's current values: Punch Type, Date, Time, Job, Custom Fields, and Comment. Time zone is shown but can't be changed.
- Update the fields you want changed — for example, correct the time, add a reason such as “Forgot to punch” or “System Error,” change the Job, or attach a file if an Attachment field is configured.
- Press Submit Request.
Your timesheet now shows “Edit Punch Requested” and a status of In Review. The punch itself won't change until your approver acts on the request.
Note: You can submit independent Edit Punch Requests for different punches on the same day — for example, one for your Clock In and a separate one for your Clock Out. They don't interfere with each other.
Editing, resubmitting, or canceling a request
- To change a pending request: open it using the Review (eye) icon, press Edit inside the review screen, update the field(s), and press Submit Request again. The request stays Edit Punch Requested status.
- To withdraw a request: press the delete icon on the request and confirm. This only removes the request — the original punch is unaffected since it was never approved.
- You can still submit, edit, or delete Edit Punch Requests after you've submitted your timesheet for the pay period.
Checking the status of your requests
- Edit Punch Requested — your request is pending; the original punch is still what's shown.
- Approved — the punch is updated with your requested changes and now shows the Punch Audit Trail, Edit, Delete, and Comment options like any other confirmed punch.
- Rejected — the punch keeps its original values; “Punch Request Sent” still appears so you know a request was made.
Notifications
You'll receive an email when your approver acts on your request:
- “Edit Punch Request approved” — confirms the punch type, date, and time that were approved.
- “Edit Punch Request rejected” — confirms the punch type, date, and time that were rejected.
You'll also see a banner or icon on your Timesheets page when a request has declined, an approved request will update the punch.
If you don't see the Edit Punch icon
- Your administrator may have turned “Allow Edit Punch Requests” off. Existing pending requests can still be viewed and deleted, but no new requests can be submitted and pending ones can't be edited or resubmitted until it's turned back on.
- If you have full permission to add, edit, and delete punches, you won't see an Edit Punch option at all — you edit punches directly instead.
- The Edit Punch option only appears on existing punches, not when adding a brand-new punch.
