For Administrators and Supervisors
Edit Punch Request lets employees who can't edit punches freely submit a change for your approval instead of contacting you directly or leaving the error uncorrected. This guide covers how to turn the feature on, how requests reach you for approval, and where to track them.
Turning it on: the “Allow Edit Punch Requests” toggle
- Go to Timesheet Templates, select a punch-based template, and open its Punch settings.
- The “Allow Edit Punch Requests” toggle appears directly below “Allow Missing Punch Requests.”
- New punch-based templates default to this toggle being ON.
- Existing punch-based templates (created before this feature shipped) also default to ON — no action is required to enable it for current clients.
How behavior changes by employee permission
The toggle only affects employees who can't already edit punches freely. The table below summarizes the effect for each punch permission level:

Turning the toggle off with pending requests
If you turn “Allow Edit Punch Requests” off while requests are already pending:
- No new requests can be submitted.
- Existing pending requests can still be viewed and deleted by the employee, but not edited or resubmitted.
- You can still approve or reject any pre-existing unresolved requests from Team Timesheets.
- Turning the toggle back on restores full edit/resubmit ability for any still-pending requests.
Reviewing, approving, and rejecting requests
- Go to Team Timesheets and open the employee's timesheet
- Press the Eye/Review icon on the request to open “Review Punch Edit Request.” The status banner reads “Waiting For Your Approval” and fields are read-only.
- Press Approve to apply the requested changes — the punch updates immediately and becomes a normal confirmed punch with Audit Trail, Edit, Delete, and Comment options.
- Press Reject to keep the original punch unchanged. The request is marked Rejected; “Punch Request Sent” remains visible on the timesheet for reference.
Dashboard: Needs Attention
Open Dashboard → Needs Attention to see an “Edit Punch Requests” sub-section, presented the same way as Missing Punch Requests:
- A count shows how many requests need attention across your team.
- Each folded tile shows the employee's name and a summary of the requested change, with Approve and Decline buttons you can use without opening the full request.
- Up to 5 tiles show by default; press “View more” to see additional ones and “Collapse” to hide them again.
Team Timesheets: Issues column
- The Issues column combines Edit Punch Requests with Missing Punch Requests, missing punches, pending punches, and outside-geo-fence punches into one count per employee.
- The count decreases as each Edit Punch Request is approved, rejected, or deleted.
- The Issues column filter includes a checkbox for punch requests (Missing + Edit) so you can filter Team Timesheets down to only the timesheets that need your attention.
Payroll: Resolving Pay Run Issues
When you start a new pay run under Prepare for Payroll, employees with unresolved Edit Punch Requests appear in the “Resolving Pay Run Issues” modal alongside Missing Punch Requests. Use the Fix link to jump straight to the employee's timesheet. Once every request is approved or rejected, the employee drops off this list.
Reports: Punch Audit Trail
Go to Reports → Timesheets → Punch Audit Trail and search for an employee to see the full history of their Edit Punch Requests, including:
- Employee Name and Employee ID
- Modified By — the employee for requesting/editing, you (the employer) for approving/rejecting
- Modified On and Platform
- Action — Create, Update, or Delete for request activity; Ledger Approve or Ledger Reject for your decisions
- Detail — a plain-language description of what happened, e.g. “Punch Edit Request was created” or “Punch Edit Request has been updated with the following changes: …”
Notifications you can enable
Under Notifications, you can turn on two emails related to Edit Punch Requests for approvers:
- Edit Punch Request Waiting For Approval — sent as soon as an employee submits a request; includes punch type, date, time, reason, and comment, plus a “View Timesheets” button.
- Edit Punch Request Due For Approval — sent if a request hits the time limit set in the approval path (requires “send me an email reminder” to be enabled on that approval path).
Employees automatically receive an approval or rejection email once you act on their request — no separate setup is needed for that notification.
