Implemented New Logic/Alert Banners for Inactive ERA Statuses

The Challenge
In order for us to file new applications and manage WOTC on our clients’ behalf, Form 9198 must be signed and filed with the appropriate State Workforce Agencies. All WOTC orders submitted before this form is filed are not valid and must be canceled. Previously, we did not prevent clients from screening new job applicants/hires or submitting new orders if they did not have a valid form on file with the state. Likewise, our alerts related to Form 9198 statuses were not clearly visible across the platform, so clients were not always aware that action was needed.
The Solution
We’ve implemented conditional logic to now prevent clients from screening new job applicants/hires and submitting new orders if they have not signed WOTC Form 9198 yet, or if their form’s status is expired/rejected. Additionally, we also implemented new system alerts and banners to ensure that our clients are aware when action is needed for Form 9198 so that they can sign the form as quickly as possible to avoid disruptions to their WOTC services.
How It Works
If your company has not yet signed the required WOTC Form 9198, or if your form has expired/been rejected by the state, you will be presented with a banner when navigating to your Hiring, Onboarding, or Tax Credits modules. This banner will alert you of the specific action needed, and also provide details about the current status of your WOTC services.
During this time, you will not be able to screen new job applicants/hires or submit new WOTC orders until an authorized signatory from your organization signs the form.
Once the form has been signed, all WOTC services for your company will resume as normal.
